Paper/Poster Submission Guideline

Things you have to know before preparing your submissions.

1. Confidentiality

All ACE program chairs and reviewers must accept a confidentiality agreement, which obligates them to treat the submitted papers as confidential information. In case a paper/poster is accepted, publication will be at the first day of the conference, Dec. 3, 2008.

2. Important date

Submission deadline: Tuesday, July 15, 9pm US Pacific Time Zone
Acceptance notification: We are aiming for September 15.

3. Categories

For this year, we will accept the following categories of submissions:

1) Full papers:

Full-length papers are up to eight pages long and are held to rigorous standards of contribution and evaluation.

2) Short papers:

Short papers are up to four pages in length and the expected amount of contribution is less due to the shorter format. Short papers generally may not include exhaustive implementation details or user studies.

3) Posters:

Contributions are submitted as an extended abstract of one page in length. The main reviewing criteria are novelty and usefulness to the ACE community.

4. Tracks

In 2008 ACE will have a new format which is three main tracks/themes for the papers, posters and creative showcase. These tracks are: technical, design, and theory/social impact of entertainment computing. Submissions can be in any one of the three main areas. If you work crosses the themes then please select the main theme of the work.

5. Reviewing process

Reviews will be single blind (i.e., include authorship information with the submitted paper/poster.) Posters will be also reviewed through the same procedure that papers are. In the submission process, authors can check the option for allowing the program committee to accept their paper in a different category from their original submitted category in case that the paper is not accepted in the submitted category.

6. Presentation and publication

Accepted full and short papers will be presented at the conference. The allotted presentation time will depend upon the categories of the paper. Accepted posters will be displayed on large boards. Poster authors can present their work to conference attendees during the poster session. We are also planning a poster teaser session in which you will have one minute to describe your poster before the poster session. Accepted papers and poster extended abstracts will be published in the proceedings.

7. Submission rules

  1. Papers and posters must be in English.

  2. A submission can only be submitted under one category (full paper, short paper, or poster). You must not submit the same material simultaneously to different categories (e.g., as both a full paper and a poster). However you can check the option in the submission process for allowing the program committee to accept your paper in a different category from your original submitted category in case that your paper is not accepted in the submitted category.

  3. Previously published work may not be submitted, nor may the work be concurrently submitted to any other conference or journal. Such papers will be rejected without review.

  4. Papers and posters must be submitted as PDF documents.

  5. The paper submissions must use the exact ACM SIG templates. Please find the template at http://www.acm.org/sigs/pubs/proceed/template.html. Please use the style "Strict Adherence to SIGS style" on that page. There are also word and word perfect templates linked on the template page. If possible, we highly encourage you to please write your paper in Latex, as this will produce the most strict and beautiful style.

  6. After acceptance the final camera ready is to be accompanied by a copyright form, CLICK HERE to download the form.

  7. Authors may include supplementary materials (such as a video) with the submission, and such materials are highly encouraged if they provide evidence of the claimed contribution. Videos should not be longer than 5 minutes long, and the total size of all submitted materials (including the PDF doucment) must be under 40MB. If you include a video, also include a text file describing what codec you used to create the video. Videos should be playable by either the current Windows Media Player or Apple Quicktime player. It is preferable that your video be playable by these standard players without requiring additional codec installations. If you require a special codec (e.g. DivX), make certain that you include instructions on how to find and install that codec. If the reviewers cannot play your video file, it will reduce the chances of your submission being accepted.

  8. The submission should include all information necessary to evaluate the paper and must not ask reviewers to go to web sites or other external information sources, since that may jeopardize the anonymity of the reviewers. Submissions that require external sites will either be returned for correction or rejected without review.
